1. Deposit & Booking
A 25% non-refundable deposit is required to secure your reservation. By submitting the deposit, you agree to all terms outlined in this agreement.
- The deposit is non-refundable under any circumstances
- Orders may be rescheduled based on availability
- Deposits may be applied to a future date if rescheduled
2. Damage Waiver
A 10% damage waiver fee will be applied to all orders.
This covers:
- Accidental damage
- Damage caused by natural events
This does NOT cover:
- Negligence
- Abuse or misuse
- Lost or missing items
3. Delivery Policy
- We do not deliver to Airbnbs, short-term rentals, or public parks
- Orders will be canceled if this policy is violated
Delivery timing:
- Typically 1–2 days prior to event
- Scheduled at our discretion
Special requests:
- Specific delivery times may incur additional charges
- Late-night pickups are subject to additional fees
Accessibility:
- Additional fees may apply for:
- Stairs
- Long distances
- Difficult access locations
Distance fee:
- $50 per 100 ft (minimum $50)
4. Cancellation Policy
- Deposit is non-refundable
- Cancellation within 10 days: 50% charge
- Cancellation within 5 days: 75% charge
- If order is loaded for delivery: 100% charge
5. Setup & Equipment Handling
- Tables and chairs are not set up unless agreed in advance
- Chairs must be restacked on pickup:
- Non-padded: 50 high
- Padded: 25 high
- Improper stacking: $0.25 per chair
- Equipment must be returned in the same condition and layout
6. Tent Rentals (If Applicable)
- Tent area must be pre-marked before delivery
- Tents must be installed on level ground
- Some tents cannot be installed on hard surfaces
- No installation over driveways (pole tents)
Customer responsibilities:
- Clear area before arrival
- Mark underground utilities
- Remove obstacles (trees, furniture, etc.)
Restrictions:
- No tape, staples, or pins on equipment
- No cooking near tents
- Sidewalls must not be removed
7. Equipment Responsibility
The customer (Lessee) is responsible for all equipment from delivery to pickup.
You agree to cover:
- Damage beyond normal wear
- Cleaning fees for excessively dirty items
- Full replacement cost for lost or stolen items
8. Weather Policy
All outdoor rentals are weather-dependent and at customer risk.
- No refunds due to weather conditions
- Tents are not guaranteed to be fully waterproof
9. Liability & Indemnification
Velvet Memories is not responsible for:
- Injuries
- Property damage
- Losses resulting from equipment use
Customer agrees to:
- Assume all risk
- Indemnify and hold Velvet Memories harmless
10. Payments & Fees
- Full balance is due before or upon setup completion
- Late payments may incur:
- 1.5% monthly interest
- Collection/legal fees
Velvet Memories reserves the right to:
- Charge credit cards on file
- Adjust final invoice based on actual usage
11. General Terms
- Equipment remains property of Velvet Memories
- Equipment may not be moved or subleased
- All permits are customer’s responsibility
- Velvet Memories may access site for inspection or retrieval
